Incentive experience: Uniting 120 colleagues in just a few days

When a global organization headquartered in Amsterdam, powered by talent from every corner of the world, reached their 10th anniversary, they chose to celebrate the heartbeat of their success: their people. The goal was clear: recognize their achievements, give them time to unwind, and strengthen the relationships that drive their success.

To bring that vision to life, they partnered with ATPI Events to create an unforgettable incentive experience in sunny Marbella, a trip that blended appreciation, adventure, and genuine human connection.

We spoke with Anouk Vernooij, Project Manager at ATPI Events, to discover how she transformed a milestone into memories that will last long after the journey ended. Curious how it all came together?

Celebrating success and strengthening global culture

The goal of the incentive experience was crystal clear. “The aim was to celebrate the company’s milestone and reward employees with well-deserved time to relax and enjoy. It was important to create the right balance between entertainment and downtime. At the same time, the client’s leadership team wanted to create an environment where colleagues from different countries could truly get to know each other, “ says Anouk. “By choosing Marbella, a destination known for sunshine, luxury, and easy accessibility, we were able to achieve this. “

Reflecting on the planning journey

Anouk shares one challenge that surfaced along the way. “At a certain point, the client decided to book on top of the existing group booking some of the flights themselves,” she says with a smile. With more than 120 guests flying in from multiple international destinations, every arrival time mattered to ensure a seamless program. “At ATPI, flexibility is key. We always want to support the client’s way of working,” Anouk explains. “We offered to take care of the extra flights, but the client preferred to handle these additional ones independently.” Even though that choice briefly made the logistics more complex, it also showcased ATPI’s strengths. “Strong teamwork and clear communication made all the difference,” she continues. “We worked closely together, staying connected by phone, email, whatever was needed to resolve questions quickly and keep full oversight.” What could have been a disruption became a moment of partnership. “It showed how, together with our client, we can overcome challenges smoothly and still deliver an unforgettable experience,” says Anouk.

Smart technology for a smooth experience

In this case, simplicity was key. “The client requested a clean and clear design, ensuring participants could easily find only the information they truly needed to feel prepared.” The result was an intuitive platform featuring each guest’s personal itinerary, flight and transfer details, hotel information, and essential contacts throughout the event. “It became a reliable guide in everyone’s pocket,” Anouk adds. “Exactly what you need when traveling.”

A seamless client experience built on trust and collaboration

For Anouk and the team, the greatest success was seeing how delighted the client was, both with the seamless organization beforehand and the professional support delivered on-site. “Our goal is always to take every worry off the client’s shoulders,” she explains. “From smooth logistics to solving any unexpected challenges on the spot, we want them to be fully present and enjoy the experience they’ve worked so hard for.” The strong partnership played a key role in that success. “A good relationship truly goes both ways,” Anouk says. “It’s a joy to work with a client that’s kind, cooperative, open to ideas, and easy to reach.” Even though all communication leading up to the event took place online, the personal connection was immediate. “When we finally met face-to-face, it felt like we already knew each other. That harmony made the collaboration even stronger.”

But the real highlight? The impact on the participants. “Seeing everyone return home energized, connected, and inspired, that’s what makes our work so rewarding,” Anouk concludes. “An unforgettable trip isn’t just a moment… it creates momentum.”
