Strategic product launch takes Savita Oil to Turkey

The Background

Savita Oil Technologies Limited is a leading petroleum specialist, a trusted and well-known brand in India. Its petroleum specialities manufacturing group recently launched a wide range of automotive and industrial lubricants under the brand name Savsol, to cater to a growing audience of quality conscious customers.

The Challenge

Based in Mumbai, Savita Oil invited prominent event companies from across the city for quotations on assisting 160 employees from across four metros, Mumbai, New Delhi, Chennai and Kolkata to a destination outside the country to launch a new product.

The requirement was to look into an exciting venue for the product launch as the company aimed to appeal to a broader audience. In addition to showcasing the product launch, the company wanted to highlight the features and benefits of the product through a new television commercial to be presented at the same time.

Savita Oil was seeking a resourceful team to suggest relevant venue options, for a three-night-stay in a foreign location, set up logistics
for all the employees travelling from four major metros of the country, and handle the product-launch from start to finish.

The Solution

As the chosen event company for Savita Oil, ATPI Corporate Events effectively executed the event, from conceptual plans and finding the destination to onsite management. Savita Oil was presented with a choice of destinations from Singapore, Greece and Turkey and the company decided to go with Istanbul, Turkey.

ATPI Corporate Events made strategic recommendations to improve the event and delivered a winning experience. In addition, the team also helped the client with the setup and logistics, pre-event and registration, handling of delegates travelling to and fro, across the country.

One of the biggest hurdles conquered was in the area of ticketing and visa. Most delegates for the event were arriving from various Tier 2 and Tier 3 cities in the country. It would have been a mammoth task to collect all delegate documents for the visa procedure. However, the visa processing proved to be a seamless affair, thanks to the whole-hearted cooperation of the Consulate General of Turkey who helped in easing out the situation.

All accommodation and transportation queries, a/v requirements, food and beverage, delegate material and giveaway items, theme generation and branding, entertainment, budgeting and accounting was smoothly executed. The event consisted of workshops as well as an exhibition, which was accomplished without a flaw.

To coordinate logistics, ATPI Corporate Events ensured that every employee from across the four metros was accompanied by a member of the MICE team to ensure coherent engineering.

The event consisted of a one-day conference on the first day that included workshops, plenary and parallel sessions. It was followed by the grand product launch and unveiling of the television commercial. Finally, sightseeing and leisure activities were included as a day long event at the Princess Islands, on the last leg of the tour. The ATPI Corporate Events team further ensured a successful gala night at the Gar Muzikhol and a starstudded cruise on the Bosphorous Straits.

The Result
